Managing Teacher Availability Like a Pro

April 5, 2026

Teacher availability is the spine of every workable timetable. When it lives only in spreadsheets, sticky notes, and inbox threads, conflicts are inevitable. Capalux helps by keeping availability and other constraints inside the same system that performs automated timetable generation—so when you regenerate or adjust, the engine still respects who can teach when.

1. One source of truth

Decide where official availability lives (usually your timetabling tool, not a parallel calendar). When HR or union rules change, update that single record and propagate. Multiple “unofficial” copies almost always diverge the week before term.

2. Separate hard blocks from soft preferences

Hard constraints are non-negotiable: medical accommodations, fixed leadership duties, or contractual caps. Soft preferences (“prefer not Monday first period”) improve satisfaction when the solver can honor them—but should not brick the whole schedule. Label them differently in your process so everyone knows which requests can flex during crunch time.

3. Plan for part-time and shared teachers

Fractional FTE and cross-site teachers are where manual grids break. Encode their working patterns explicitly: which days they are on site, maximum consecutive teaching periods, and travel buffers if they move between buildings. The earlier these patterns are accurate, the less emergency swapping you do in September.

4. Regenerate when staffing changes—don’t patch forever

Mid-summer hires, departures, and class-size shifts are normal. Small local edits work for a while; eventually the timetable becomes a house of cards. After material staffing changes, prefer a structured regeneration (or targeted partial rebuild) so global feasibility comes back. Capalux supports iterative refinement so you are not forced to choose between “frozen wrong” and “start from zero.”

5. Communicate the timetable as a living document

Teachers forgive a lot when they understand why a slot landed where it did. Pair published schedules with short notes on major constraints and publish PDF or calendar views per audience. When availability updates, re-export so the file people bookmark actually matches the master plan.

Strong availability management turns timetabling from a political negotiation into a managed data problem—one that software can help solve consistently. Reach out if you would like to walk through your school’s constraints in Capalux.
